The Joint Commission accredits more than 15,000 health care organizations in the United States and many other countries. Yearly, Joint Commission staff is responsible for completing, signing, and submitting the following documents:
- Conflict of Interest Form. The conflict of interest form requires staff to read JCAHO’s conflict of interest policy, state whether they may have a potential conflict of interest, and then sign and submit the form. Where a potential conflict is identified, HR and management review the conflict for resolution
- Firewall Policy Document. JCAHO requires staff to review and sign the organization’s firewall policy on an annual basis. Staff must read and sign the document.
Each of these documents is printed and placed in the employee’s physical file in HR.
In the past, the HR department has had to distribute these forms, with limited and manual tracking capabilities. As a result of being a manual process, there was little to enforce the completion of these forms on a timely basis without manually reviewing and verifying whether a response had been received.
Risetime automated these processes utilizing Captaris Workflow, a business process automation tool, and delivered employee review tasks via Captaris Workflow web parts in Microsoft SharePoint. Captaris Workflow routes policy documentation for review and signoff, and manages conflict review scheduling and resolution between employees, human resources staff and department management.
