AgilePoint Workflow Project


Challenge >

Many of this Risetime client's workflow and business processes were growing in complexity and becoming difficult to manage in SharePoint. Additionally, business users could not create workflows without IT involvement, and IT’s heavy workload prevented them from creating the workflows in a timely manner.
 

Goal >

The client sought to reduce reliance on IT by empowering knowledge workers to create and modify critical business workflows. They recognized the need for a user-friendly, SharePoint-compatible solution in order to automate processes languishing on I.T. backlogs, and quickly identified AgilePoint as the ideal solution for them.   
 

Solution >

Risetime’s engagement was focused on assisting them to ramp-up use of the AgilePoint solution as quickly as possible. This goal was accomplished by:

  • Creating two workflows in the working environment:

Vacation/Time-Off Request Workflow: This workflow was created to better manage and monitor employee time off requests and status. It automates the vacation request process and updates business unit calendars immediately. When a user creates a new vacation request, the user’s manager receives a notification, and can approve or deny the request triggering a calendar item or notification of denial.
New Project/Site Collection Request Workflow: Use of their internal SharePoint portal for client and project management had been well established. They recognized the need to create workflows around client projects in order to quickly and efficiently service client needs and maintain seamless communications to effectively manage those relationships. This workflow initiates at the kick-off of a new project; creating a new site for the project, creating a user group within the site, notifying the appropriate users, and populating a list with the pertinent project information.​

The two workflows demonstrated proof of concept, and gave the clients AgilePoint users the skills they needed to create workflows on their own for future use.
