Situation Assessment
This Risetime client, an information services provider, needed assistance with their employee time off request process. Like many large organizations, they use ADP products for payroll and benefits management. They were running into some problems with user adoption of the ADP eTIME®1product, which they were utilizing solely to manage employee time off. Employees were either not properly using eTIME to schedule their time-off requests, or they were not using it at all due to difficulty with signing in because of lost or forgotten login credentials. In fact, 60% of the help requests that came through tech support for this organization were related to locating sign-on information for eTIME.
Further adding to the ineffectiveness of the system, managers had no visibility into pending time off requests, as eTIME displays only approved requests. The client and its’ employees were growing frustrated, and they had previously tried several other solutions to manage the time off request process, without success.
Solution Overview
The Risetime solution did not replace or remove eTIME, but greatly changed how the users interacted with the time off request system. The new interface does not require employees to sign-on, but instead allows them to conduct all interactions with eTIME by sending emails to an address such as timeoff@ourcompany.com, or by utilizing meeting requests in Microsoft Outlook (Exchange). The client’s current software investments in Microsoft products were leveraged to create the new solution. In addition, this email based approach allows employees to easily access this information from mobile devices.
Employees can now send an email to perform the following tasks:

Request time off
-
Cancel previously requested (and approved) time off.

Request current time off balance - including pending and approved time.

Allow managers to view pending and approved requests for employees.
Additional features:

Automatic calendar scheduling: Approved requests are displayed in the manager’s Outlook calendar automatically as "free time", and in the employees Outlook calendar as “out of office”.

Reminders and escalations: If the manager does not respond to the time off request within five business days they receive a reminder, and if they don’t respond the request will be escalated to their manager.
Value Measurement
The value of this project was demonstrated by the increase in employee adoption due to the usability of the system. Risetime took a difficult and cumbersome system and process, and made it simple and functional for both management and employees. This was accomplished with Microsoft products already in use at the organization. Now, employees are in full (100%) compliance of the time off request process with the SEE Time Off solution in place. Because of the management features and complete employee participation, management has much better visibility into employee time off. As an added benefit, internal technical support has experienced relief because they no longer need to support lost and misplaced user credentials for eTIME.
